2. What Data We Collect
We collect and process the following categories of personal data:
Parent / guardian details — full name, email address, phone number, and postal address
Child details — first name, surname, date of birth, and age
Class enrolment information — which classes a child is enrolled in, their location, and any relevant medical information or special requirements shared voluntarily by parents
Trial class and waiting list enquiries — when you submit a trial class booking or join a waiting list via our website, we collect your name, email address, your child’s name and date of birth, and the details of the class you have enquired about. This information is stored in secure files on the Kidkast web server and is accessible only to authorised Kidkast administrators.
Payment information — class fee payments processed through our booking system (class.ms/kidkast); we do not store full card details directly
Communications — emails, phone records, and messages you send us
Website usage data — basic technical data collected via cookies (see Section 9)
3. How We Use Your Data
We use the personal data we collect for the following purposes:
To manage your child’s class enrolment, attendance records, and timetable
To manage waiting lists for full classes and contact parents when a place becomes available
To process class fee payments and send receipts
To communicate with parents and guardians about class updates, cancellations, recitals, and events
To respond to enquiries and provide customer support
To comply with our legal and safeguarding obligations
To send occasional newsletters or updates about Kidkast, where you have consented to receive these
We will never use your data for purposes that are incompatible with those listed above without first obtaining your consent.
4. Legal Basis for Processing
Under the General Data Protection Regulation (GDPR) and the Data Protection Acts 1988–2018, we rely on the following legal bases for processing your personal data:
Contract — processing is necessary to fulfil our enrolment agreement and manage your child’s place in classes
Legitimate interests — to communicate important information about classes and to operate and improve our school
Consent — for marketing communications such as newsletters, where you have opted in
Legal obligation — where processing is required to comply with Irish law, including safeguarding requirements
5. Data Sharing
We do not sell, rent, or trade your personal data to any third parties.
We may share your data with the following categories of third parties, only where necessary:
Payment processors — our booking and payment platform (class.ms) processes payment data on our behalf and is bound by its own data protection obligations
Form submission handling (Formspree) — contact form, trial class booking, and waiting list submissions made via our website are handled by Formspree (formspree.io), a US-based third-party service. Formspree receives and stores the personal data you submit through those forms on our behalf and is bound by its own data protection obligations.
Email delivery (Resend) — automated confirmation, reminder, and follow-up emails sent in connection with trial class bookings and waiting list registrations are delivered via Resend (resend.com). Resend processes your email address and the details included in those emails on our behalf and is bound by its own data protection obligations.
Legal and regulatory authorities — where we are required to do so by law, for example in response to a court order or to comply with our safeguarding obligations
All third parties who process data on our behalf are required to handle it in accordance with GDPR and are not permitted to use it for their own purposes.
6. Data Retention
We retain personal data only for as long as is necessary for the purposes for which it was collected:
Active enrolment records — retained for the duration of your child’s time at Kidkast
Financial records — retained for 7 years in accordance with Irish tax and accounting requirements
Contact and communication records — retained for up to 3 years after your last contact with us
Marketing consent records — retained until you withdraw consent
Trial class booking records — personal data submitted through trial class booking forms is retained on our web server for 12 months from the date of the trial class, after which it is deleted
Waiting list records — personal data submitted through waiting list forms is retained on our web server until a place is offered and the outcome recorded, or for a maximum of 12 months, whichever comes first
When data is no longer required, it is securely deleted or anonymised.
7. Children’s Privacy
As a performing arts school, we necessarily collect and process personal data about children under 18 years of age. We take our responsibilities in this area very seriously.
All data relating to children is collected from and with the consent of a parent or guardian. We collect only the minimum data necessary to manage a child’s participation in our classes. Child data is handled with the utmost care and is never shared with third parties except as described in Section 5.
